Open Positions:

Administrative Coordinator

Part-time On-site: 15hrs/week
Minimum 1-year commitment, 2 years preferred

The position includes some fixed and some flexible hours. The ideal candidate is an established ceramic artist and is knowledgeable about the contemporary ceramics field, who works part-time remotley or generates income through online sales of artwork. CMAEP is in a remote area, desire to be surrounded by nature as an integral part of a small arts staff serving and being part of a community of fluctuating artists is a must. Prior administrative experience in an arts organization is preferred.

35% Internal Communications/program coordination (Assistant to Director):

  • The primary point of contact for the Founder/Director.

  • The primary point of contact for on-site personnel in the Director’s absence.

  • Support the Director in managing day-to-day logistics and communications with the onsite community, visiting guests, and virtual meetings.

  • Attend meetings, record minutes, and provide specific administrative follow-up as needed to on-site personnel and the Director specifically.

  • Collaborate with the Director to create an annual programming calendar aligned with the organization's mission.

  • Provide administrative support to the Director during application review; Manage correspondence with applicants and coordinate interview schedules.

  • Participate in application review interviews and provide input for final decisions.

  • Review resident contracts, housing contracts, and any other paperwork needed for the intake and exit of resident artists/personnel.

  • Provide ongoing communication to incoming resident artists during the relocation period.

  • Onboard new resident artists upon arrival to campus.


45% Registrar:

  • Point of contact for the organization/business email. 

  • Field correspondence for general inquiries and requests regarding programming, events, and applications.

  • Maintain detailed records of all workshop registration, payments, and other critical information for programming.

  • Create and distribute all vital workshop information to participants via email, including registration confirmation, schedules and timelines, legal paperwork, and field any specific inquiries. 

15% Marketing/Outreach/Community Engagement:

  • Manage the CMAEP social feeds, including FB, IG, and the subscriber emailing list.

  • Create all digital and print collateral for the promotion of all educational programming, social events, fundraiser sales, and application deadlines. 

  • Maintain a successful promotional schedule and disperse promotional information accordingly across multiple social platforms.

  • Maintain the website's general functionality and keep all information up to date. 

  • Create new content for all events and programming as needed. 

  • Manage outreach and planning of community engagement events. 

  • Create an annual calendar and maintain preemptive planning and management for on-site and off-site events. 

  • Coordinate and hire needed third-party contracted staff for events.

  • Maintain current local and regional connections for the organization, keeping the organization in the view of appropriate regional arts and other associations. 

  • Build new connections and networks of opportunity with the larger region through representation, educating, speaking/presenting, selling work, etc.

5% Online Gallery Organizer:

  • Create and maintain an annual schedule for the website’s Online Gallery. 

  • Coordinate with artists to receive artwork and proper paperwork. 

  • Receive, inspect, and inventory work for each exhibition.

  • Photograph exhibition work at a professional level.

  • Create and maintain appropriate and accurate records for all artist invitations, contracts, inventory, documentation, and sales. 

  • List work online accurately, track sales and oversee packing and shipping of sold work. 

  • Keep accurate records of sales through the Gallery to relay to the director as needed.


COMPENSATION/BENEFITS:

This position currently operates as a work-trade agreement, no monetary payments are made.
(except an initial deposit of $800, refunded at departure, minus any damages assessed.)

15 hours of work per week is in exchange for housing and studio space on site.

Plus all firing fees are waived. (does not include fuel costs for wood or gas kilns)

And all sales of artwork in the Online Gallery and annual Open House Events not subject to the CMAEP 30% commission.
